Barcode label sizes and materials for a parts shop

Which barcode label size and material survive a parts shop? Match 2x1, 3x1, 4x2, and 1x0.5 sizes to the job, and pick a stock that shrugs off grease and oil.

A label is only useful if it is still readable the day you go looking for it. In a parts operation, that sticker rides through grease, gets handled a hundred times, and may sit on a shelf for a year before the part sells. Choose the wrong size or the wrong stock, and you are reprinting labels instead of pulling orders.

What size label for each job?

Match the label to the surface, not to the part. A 2x1 inch label is the default for SKU, bin, and location tags; step up to 4x2 for pallets and large bins, drop to 1x0.5 for the smallest parts, and keep 4x6 for packing slips.

Here is how the sizes line up with the work:

  • 2” x 1” — the default. SKU tags, bin and location labels, cart and tote labels. Big enough for a QR code plus a line of SKU text and a short description, small enough to fit almost anywhere.
  • 3” x 1” — wide shelf edge. Same height as the 2x1, but wider, so a longer description or a larger code fits along a shelf rail you read while walking.
  • 4” x 2” — pallets and large bins. Room for a code big enough to read across an aisle, plus text you can see without leaning in.
  • 1” x 0.5” — the smallest parts. For a part where a 2x1 sticker would wrap around the item. It still holds a scannable code — more on that below.
  • 4” x 6” — packing slips. Not a part label at all: order details plus a QR code for scan verification at packing.

The 2x1 does most of the work in a warehouse. It carries the same SKU text your team scans during a pick, so the code on the sticker and the SKU in the system stay one and the same — the groundwork covered in SKU strategy.

Paper, polypropylene, or polyester — what survives a parts shop?

For a label that has to last — through grease, constant handling, and months on a shelf — polyester with a thermal-transfer print is the durable choice. For labels you reprint often, like a pick ticket or a packing slip, plain paper is cheaper and perfectly fine.

  • Paper (direct thermal). The cheapest option, and the right one for short-lived labels you will reprint anyway. Under grease or long sun exposure it smears and fades over time, so it is a poor fit for a permanent tag.
  • Polypropylene. A plastic film that resists water and tearing — a middle ground that shrugs off damp and handling better than paper without the cost of polyester.
  • Polyester. The toughest stock. It stands up to oil, solvents, and abrasion, and holds a crisp code for years. This is what belongs on a permanent part or bin label — whether the part came out of a car, a computer, an HVAC unit, or a tractor.

Direct thermal or thermal transfer — what’s the trade-off?

A direct-thermal printer burns the image into heat-sensitive paper, so there is no ink or ribbon to buy — but the print fades with heat, sunlight, and grease over time. A thermal-transfer printer melts a thin ribbon onto the label, which costs a ribbon but bonds a permanent image that survives oil and years on a shelf. Reprintable labels: direct thermal. Permanent part and bin labels: thermal transfer on polyester. Either way, Ordovee sends the printer the same PDF — ODV does not care which technology prints it. How small can a part-label QR code be and still scan?

Keep the QR code at least 0.8 inch (2 cm) square for reliable handheld scanning at arm’s length — the size a standard 2x1 label carries with room to spare. The smallest 1x0.5 label is only half an inch tall, so it can’t fit a full 0.8 inch square; its QR code is smaller, trading some scan margin for size, and is meant to be read up close rather than across an aisle.

A rough guide to plan by: a code scans from about ten times its own width away. A 0.8 inch code reads comfortably from roughly 8 inches; the 2-inch code on a 4x2 pallet label reads from across the aisle. Print the code bigger the farther away it has to scan.

QR earns its place on the tiny 1x0.5 label because it packs a full SKU into a small square and reads from any angle, where a 1D barcode would run out of width long before it fit. ODV defaults to QR for exactly that reason.

Why print a test before you buy a case?

Print one label, stick it where it will actually live, and scan it from arm’s length before you commit to a full case of stock. A code that looks crisp on screen can still miss if the printer runs too light or the size is wrong.

A few things to check on that test label:

  • Scan it from the real distance and angle it will be read — on the shelf, in the aisle, off the part in hand. A label only earns its keep when it scans on the first try in a live pick session.
  • Wipe it with a little grease if it is a permanent label, then scan again. That one test tells you whether paper will do or you need polyester.
  • Confirm the print is dark enough. A faint thermal print is usually a speed setting, not a worn-out printer — slow it down and turn darkness up before you blame the stock.

Testing one label matters more than it sounds, because Ordovee generates up to 500 labels in a single PDF. A wrong size or a too-light setting multiplies across the whole case, so ODV rewards the seller who checks one first.
