An order isn’t a row in a spreadsheet
In most parts operations, an order comes in and someone scribbles it on a sticky note — or worse, tries to remember it. Maybe there’s a shared spreadsheet. Maybe there’s a whiteboard. The part gets pulled from a bin, tossed in a mailer, and hopefully the right tracking number gets entered somewhere.
That works for five orders a week. It falls apart at fifty.
Ordovee treats every order as a record that moves through defined stages — nothing skipped, nothing lost, every step stamped with who did it and when.
What are the stages of an order in Ordovee?
Every order moves through six stages — Imported, Allocated, Picking, Packed, Shipped, Completed — and each transition is stamped with who did it and when.
Every order in Ordovee follows the same path:
1. Imported
Orders flow in automatically from the eBay and Shopify connections you set up once. ODV catches duplicates — if the same order arrives twice (which happens more than you’d think), it only lands once. Each order is matched to your own parts by SKU.
No manual data entry. No copy-paste from marketplace dashboards.
2. Allocated
Once an order is in the system, ODV places a reservation on the parts it needs. A reservation is a promise — this specific part is held for this specific order. It can’t be sold to another buyer or pulled for a different order.
This is where overselling ends. If you have three units and a fourth order comes in, that fourth order is held back until you have the stock — never promised a part that isn’t on the shelf. Reservations ride on top of your inventory count, which is why ODV can tell available apart from on hand; the ledger guide walks through that distinction.
3. Picking
Your warehouse staff opens a picking session. The handheld shows them exactly what to pull: the SKU, the description, and — in large, bold text — the bin location. They walk to the bin, scan the barcode, confirm the pick.
Multiple pickers can run concurrent sessions without stepping on each other. If a picker gets interrupted, their session saves automatically and they pick up where they left off. The scanner-first picking walkthrough follows a full session from cart setup to the last scan.
4. Packed
After picking, parts move to the packing station. The packer checks that what’s in the box matches the order. Packing slips generate automatically — SKU, description, order number, and a QR code for quick reference.
A mismatch gets caught before the box is sealed. Not after the customer opens it.
5. Shipped
Orders ready to go out get grouped into fulfillment batches. Print packing slips and mark an entire batch shipped in one action, with tracking numbers recorded against each order.
Your marketplace counts already came down back at Allocated — the reservation dropped what was available to sell, and ODV pushed the new quantity out to eBay and Shopify from there. 6. Completed
The order is done, and its full history stays with it — every status change, every person, every timestamp. If a customer calls six months later asking about their order, you can pull up the complete timeline in seconds.
What happens behind the scenes
The six stages are what you see. Underneath, three things run on their own so you never have to think about them:
- Nothing gets oversold. The moment an order is allocated, its parts are set aside — held for that order and no other. What your marketplaces show for sale reflects what’s actually available, not just what’s sitting on the shelf.
- The imports and quantity updates run themselves. The automation engine pulls new orders and pushes updated counts on a schedule, and it remembers exactly where it left off — so nothing imports twice and nothing slips through. If a marketplace stops responding, it pauses and resumes on its own instead of letting one bad response snowball into oversells.
- Everything stays on the record. Every status change, every pick, every quantity push is written down — who, what, and when — so the whole story of any order is one lookup away. Following the records shows what that record can answer when something looks off.
Multi-channel, one workflow
Whether an order comes from eBay, Shopify, or is entered by hand, it enters the same pipeline. Your team doesn’t learn a different process for each channel. The picker doesn’t need to know where the order came from — they just see a part to pull and a bin to walk to.
